ATLANTA, November 12, 2007 – Over three quarters of small- and medium-sized businesses (SMBs) operate more than one server and the majority also operate from multiple locations, meaning their IT infrastructure is distributed geographically1. SMBs with multiple locations or remote employees show the signs of a healthy, modern organization. However, according to office productivity solution provider FileVision, if the appropriate IT resources aren’t in place to coordinate the free flow and immediate accessibility of information between those locations, SMBs face a critical productivity issue.
“To be fully productive, SMBs with multiple locations need to have a central information management system in place, where all data, information, and electronic versions of documents are stored, and accessible from any location with an Internet connection. It’s the only way SMBs can be competitive in their respective fields in the 21st century,” said Laurie Shufeldt, SMB productivity expert and VP of strategic business development, FileVision.
SMBs without such a system in place regress from a technology-enhanced productive way of operating when they depend on manually driven processes, like the physical transportation of documents, or inefficient communication systems like faxing and email that further disperse documents and critical company information.
“Companies – whether those with multiple locations or departments in the same building – operating without a central information management system significantly detriment their productivity,” said Shufeldt. “This is the case with any part of the business. For example, a sales person needs to access customer information while on a client visit; an employee working from home needs system access; or all multiple locations need to submit their invoices for payment to the accounts payable department.”
For example, anytime an employee has to physically travel to a central office location to look up information that’s not available via a secure Internet-connected system, productivity is being compromised. While a technology solution cannot replace the human element that drives a business, any solution that minimizes the manual busywork that could be automated helps to maximize employees’ valuable time to get more done by not wasting time transporting information between locations.
And, as more than one report finds, technology does improve employee productivity. According to a recent study from Forrester Research, Inc., 83 percent of SMBs believe application software improves the efficiency of their companies' core operations and business processes; 80 percent believe software improves worker productivity, and 75 percent believe software makes their products and services better2.
