Madison County Georgia Commission Chooses FileVision

Information Relationship Management

Madison joins neighboring Hart County, also using FileVision, in automating paper-intensive business processes, cutting costs, increasing productivity and providing better public service.


May 17, 2004 - Atlanta, GA — FileVision USA, LLC, today announced Madison County has chosen FileVision™ to handle the county's growing document management, imaging and workflow needs. FileVision is a information relationship management solution that gives county governments and/or departments within an enterprise the ability to manage both structured and unstructured information from the vantage point of how it relates to the objects that are important to the organization.

Madison County will initially implement FileVision in the County Clerk's office to automate the paper-intensive process of preparing the agenda, meeting minutes and documentation for the bi-monthly County Commission meetings. With FileVision, Madison County Clerk, Morris Fortson, and his team will gather topics to be placed on the agenda (which come from county department heads and citizens), collect background information (consisting of numerous pages of documentation), include rezoning applications, prepare previous meeting minutes and finalize the agenda for meetings held twice per month by the Board of Commissioners.

Before choosing FileVision, Mr. Fortson and his team visited Hart County, their neighbor to the northeast, to see how Hart is using FileVision in several departments. According to Fortson, “We got so many great ideas for utilizing the solution from Hart County. We chose FileVision because we liked the idea of being able to make the agenda files available electronically to our commissioners. No more paper copies or faxes. This new electronic process will be a big time and budget saver for us.”

The county is also running out of physical storage space, wants to eliminate the risk of misplaced or lost files and needs a central repository where it is easy to store and retrieve any type of information that needs to be kept for future reference. 

FileVision will take this very time-consuming and labor-intensive process and make it easier to manage, allowing the clerk’s office to push the information electronically to the commissioners before the meetings. This allows them time to review the agenda information before voting on important issues. It will also eliminate the need to duplicate and send information to multiple locations. Finally, the Clerk will capture any actions and signatures from the meetings and electronically link them to the agenda files for future use and ease of retrieval.

In the future, Madison County will implement FileVision in the Planning and Zoning Board to handle applications, supporting documentation and maps. The Accounts Payable department will also implement FileVision to cut down on storage costs associated with keeping paper copies of purchase orders, invoices and check vouchers. FileVision will allow them to link these items together for easy retrieval.
